I'm organising a conference with interpretation for the first time. How do I get started ?

Briefly describe your project : we will design with you the translation set-up best suited to your event, both technically and budget-wise.

What information do you need to provide an accurate quote ?

To produce a reliable quote, we need to know :

  • the title or theme of the conference,
  • the format of the discussions (in-person, webinar, round table, hybrid),
  • locations, dates and times,
  • the roles of the main speakers,
  • the languages spoken by the speakers and those required by participants.
The final organisation of the conference is not yet confirmed. Can you adapt ?

Yes, no problem. Preparing a conference is a complex exercise that requires flexibility. Changes can occur up to the last minute : room change, additional speaker, extra language, switch to hybrid format.

SOGEDICOM has the flexibility required to absorb these adjustments without affecting service quality.

Do you work at our chosen venue or from your studio ?

Both options are possible. We work either directly at the venues you have chosen (hotels, conference centres, embassies, your own premises), or from our broadcasting studio in Paris for fully online or hybrid events.

If necessary, we travel in advance to carry out a technical site visit with the venue's teams.

Do you have experience with high-profile prestige events ?

Yes. SOGEDICOM regularly works in the most prestigious Parisian hotels (Ritz, George V, Bristol, Plaza Athénée), in embassies, ministries and other high-level institutions.

Are your interpreters AIIC-certified ?

Yes. We work with international conference interpreters who are members of the International Association of Conference Interpreters (AIIC), with experience at the UN, the European Commission and international summits. Every language combination available.

How many interpreters do I need for a full conference day ?

Professional standards require two interpreters per booth and per target language for a full day. Simultaneous interpreting demands sustained concentration : interpreters relieve each other every 20 to 30 minutes.

For a short meeting (less than an hour), one interpreter can be enough. We adapt the team to the duration and intensity of your event.

Which languages do you cover ?

All working languages of international conferences : English, French, Spanish, German, Italian, Portuguese, Russian, Arabic, Mandarin Chinese, Japanese, Korean, Dutch, Polish, Ukrainian, Hebrew, Turkish, and many more.

For rarer languages, we draw on our international network of professional interpreters.

What is the difference between human simultaneous translation and the AI solution ?

Human simultaneous translation is provided by qualified interpreters in a booth. It remains the standard for sensitive debates, diplomatic nuances and complex technical topics.

The AI solution is automatic multilingual real-time subtitling, ideal for events with a high volume of languages, training sessions, or as a complement to human interpreters to allow a wider audience to follow the event in their native language.

Both solutions can be combined.

How does AI subtitling on smartphone work ?

Participants scan a QR code at the entrance of the room (or receive it by email) and access a web page that displays translated subtitles in real time, in the language of their choice.

No app to install, no headset to distribute. The solution works on any modern smartphone, both in-person and remotely.

Can you work over videoconference (Zoom, Teams) ?

Yes, we provide Remote Simultaneous Interpretation (RSI) on all major platforms : Zoom (native interpretation channels), Microsoft Teams, Google Meet, Webex, or via our own dedicated platform.

We also provide technical assistance to participants so they can select their language channel.

Do you offer technical services without interpreters ?

Yes. If you usually work with your own interpreters, we can provide the technical service only : room sound system, booths, headsets, interpreter consoles, live technical support.

Can you record the translation ?

Yes, this is possible. It is important to inform us in advance so we can prepare the equipment and obtain written authorisation from the interpreters.

In line with industry practice, the interpreters' copyright is included in the quote at 20 % of their service fee. This is a flat rate, regardless of how the recordings are subsequently used.

Do you recommend any specific preparation for the speakers ?

Speakers can speak naturally, with no specific constraint. However, it is essential to provide interpreters in advance with : presentation slides, the programme, and any document that helps with terminology preparation (speaker biographies, technical glossaries, PowerPoint presentations).

The AIIC publishes excellent guidance for speakers that we share on request.

Can you produce post-production subtitles for a promotional video ?

Yes. Spoken simultaneous translation is an immediate exercise that differs greatly from a written text. For clean subtitles intended for a promotional video, it is often necessary to rework phrasing, adapt sentence length to fit the screen, and carry out studio post-production.

We handle the entire process.

How do I keep control of the budget for your service ?
